Configure your invitation timing and frequency

In this article, you’ll learn how to schedule your invitation delivery time and frequency, plus how to set up invitation reminders.

In Complete-Reviews Business, go to Get reviews > Invitation Setting > Timing and frequency.

Schedule invitation delivery date

Select the amount of time you’d like to pass between when a customer makes a purchase or uses your business. You can send immediately or up to 3 months later.

For service review invitations:

Under Send a service review invitation, select the number of days, weeks, or months from the drop-down menu. If you want to send the invitation immediately, select 0 days.

By default, invitations will be sent to customers after 7 days. We recommend this delay to ensure enough time until the customer receives their order.

Choose invitation send time

Note: This feature is only available with the Standard Tariff.

You can choose what time your invitations are sent to customers. From the drop-down menu under Send invitations at this time of the day, select a certain time (all times are in UTC).

You also have the option to send emails at an automatically optimized time. This time is calculated using past customer data to determine what time of day users have typically been most responsive to invitations. To use this function, select Optimize automatically in the drop-down menu.

Invitation frequency

You have several options for how often invitations are sent to customers that make multiple purchases from your business. If you want to send an invitation after each purchase, enable the Each customer should be invited to write a review after every purchase they make option. If not, you can choose from the other two options: Enter the number of days until they should be invited again, or select a default of 1 year.

Invitation reminders

If you’d like to send reminders to customers you’ve invited, but haven’t left a review yet, enable the checkbox under Invitation reminders. From the drop-down menu, choose how many days or weeks you would like to pass between when the original invitation is sent and when the reminder is sent. The invitation reminder will be sent in the same language selected for your invitations landing page. Click Save changes.

To successfully send a reminder, three things need to happen:

  • You must enable reminders before you create an invitation.
  • Reminders must be enabled when the invitation is scheduled to be sent.
  • The reviewer hasn't posted a review by clicking on the link in the original invitation.

Note: If you disable invitation reminders, all queued invitation reminders will be cancelled and won't be sent.
